How can I apply a filter to evaluation responses in a report?

NOTE: It is only possible to apply response filters to single evaluations. It is not possible to apply response filters to reports based on more than one evaluation.

Applying the Filter

To apply a filter to evaluation responses in a report, so that eg only those that have responded in a particular way to a question are shown, follow these steps:

  1. Click on the My Reports tab, then on the [Create Report] button located at the top right of the page. 

  2. On the Report Selector page, select the 'Evaluation' report type and click the [Next] button.

  3. Enter a name for your report, then from the 'Project' dropdown select the project which contains the evaluation you want to report on. All available evaluations which contain responses will appear in the section below.

  4. Add the evaluation to your report by selecting the tickbox located to the right of its name and clicking the [Add] button.

  5. Click the [Next] button at the bottom of the page. This will take you to the report options page.

  6. Click the [Filter Responses] button. This takes you to the Response Filter List page.

  7. Choose the question(s) to be filtered and select the response criteria. Using the dropdown menu at the top of the page you can also choose whether responses should 'match all filters' or 'match any filter'.

  8. Ensure that the ‘Active’ tickbox is selected next to each filter you wish to apply, then click the [Save] button located at the bottom right of the page. This will return you to the Edit Report page.

  9. Continue to create your report in the usual way. When the report is created only the responses that match your active filters will be shown.

 

NOTES:

Filters created in the Reports section will not apply to the Analyse section or to data downloaded using the Download function within the Analyse section. If you want to filter responses in the Analyse section you will need to create new filters.
